Workflow Manager

Brief

Creating contracts was slow and inconsistent. Every workflow depended on manual setup, business teams waited on legal to draft and route each contract, and approvals happened ad-hoc with no guaranteed compliance. Workflow Manager is a no-code tool that lets companies build their own contract workflows in a self-serve manner. Teams create contracts faster using templates and forms, and every contract stays compliant through automated conditional approvals that route to the right stakeholders. I owned the product definition, from the business logic to the end-to-end user flows. I worked closely with engineering and design to take the tool from concept to launch, running the project across a 3+ month build to ship on deadline.

What I Did

  • Designed end-to-end user flows in partnership with engineering and design, letting users build their own contract workflows in a self-serve manner.
  • Defined the business logic for a one-click workflow migration tool, specifying edge cases and system behavior end-to-end.
  • Ran the project across engineering for 3+ months, managing scope and sequencing to ship on deadline.

Full breakdown

Design to launch Workflow Manager was the first project I was handed when I joined SpotDraft as an APM in 2023. The product vision and high-level flow were set, but the design was still early, and my job was to iterate it into something buildable and milestone the work. I worked with designers to sketch the user flow and define the state for every screen, solutioning through a series of edge cases along the way. In parallel, I worked with engineering to plan sprints and set the milestones that carried the project from design to release.

Seamless migration, lasting platform Existing customers had workflows in the older system that all needed to move over, and we expected friction, so the migration had to feel effortless with no data loss and no disruption. We built a self-serve flow that moved a user's workflows in 2 to 3 clicks, with nothing lost. Post-launch, Workflow Manager became the default platform other features were built on, the base layer where customers configure their contract workflows. I worked with other pods to integrate their features into it and owned the UX across the platform as it grew.

Usage-based billing, still running today The platform also gave Customer Success clear visibility into usage. Customers were billed per workflow, but before Workflow Manager, CSMs struggled to pull accurate figures to bill against. The new platform gave them a clean view of actual usage, and within three months of launch and migration, accurate usage-based billing lifted ARR by more than $50k. Workflow Manager is still live today, and still the foundation for how SpotDraft customers build their contracting workflows.
